Documents

Retrieve statements, minutes, certificates and letters from your property manager.

Which documents can I see?

Under Documents you will find everything your property manager has explicitly shared with you – for example operating costs statements (Betriebskostenabrechnungen) or service charge statements (Hausgeldabrechnungen), minutes of meetings, invitations and certificates. New documents are marked new until you open them for the first time. Tap a document to open it; your browser shows PDF files and photos directly, other files are downloaded.

If a document shows being transferred, it has been announced but the file is still on its way. Try again after a few minutes.

Finding documents

The list is arranged by year, with the newest document at the top. If there are documents in several folders – for example Community and building, Committee (only for members of the administrative committee), My flat, My contract or General –, choose the folder at the top above the list; All shows the documents from all folders again. If you have many documents, three filters appear above the list:

  • Search titles: shows only documents whose title contains the search term, for example “statement”.
  • Type: for example only statements, invitations or minutes.
  • Year: only documents from one year.

The list changes when you tap Show. Reset filters shows all documents again.

Proof of retrieval and delivery

When you open a document for the first time, your property manager is informed (time of retrieval). This serves as proof that you have received the document.

If you have agreed to also receive letters through the portal (Account › Consents), such letters are marked as Letters from your property manager, and you receive a notification immediately.

Consent to the rent increase

If your property manager demands a rent increase (Mieterhöhungsverlangen) up to the reference rent customary in the locality (§ 558 BGB), you can consent directly in the portal. The letter then shows Agree, and an entry appears under What needs to be done? – with several tenants, for each person who can consent.

  1. Open the letter and read it carefully.
  2. Tap Agree. The next page shows the wording of your declaration and the deadline.
  3. Confirm with Yes, I consent to the rent increase. The letter then shows Consent sent; once your property manager has accepted it, it shows Consented.

If your property manager could not accept the consent (for example because the demand for a rent increase was withdrawn), you will see the reason on the consent page.

After confirming, you receive an e-mail with the wording of your declaration. As evidence, the portal records when you consented, how you were signed in and – in the app – which device you used, together with the IP address and the browser identifier. Your property manager creates a PDF Evidence of consent to the rent increase from this; it appears under Documents with the tenancy agreement.

Documents that have disappeared

If your property manager withdraws sharing (for example because a corrected version will follow), the document disappears from the list and can no longer be opened. Copies you have already downloaded to your device are not affected.
